ShowQuotations

ShowQuotation, entering delivery address now possible

The quotation window has been modified. The tab page “Info” has been split into two tab pages, one is “Quotation info” and the other is “Agreements”. You can enter a delivery address on the tab page “Agreements”. When transferring the quotation to a sales order, this delivery address will be included in the sales order. The delivery address can be modified in the sales order if necessary.

ShowQuotation, when transferring, allocate on selected batch from a web shop

If WinTree® is linked to a web shop, quotations can be imported from the web shop into WinTree®. If batches (originating from WinTree®) are displayed on the web shop, (in other words not items but stock batches), then the batch number of the selected stock batch is linked to the imported quotation lines.

 

When these imported quotation lines are transferred to sales orders, using parameter 1305 (value 2) ensures that allocation is done directly on the stock batch. This also applies in the case of a fictive stock batch.

ShowSigning documents

When you print (or fax or mail) order confirmations and purchase confirmations, it is now possible to include your signature. In the employee table you can link each employee to an image of their signature. The image must comply with the following specifications:
- Format: 18x6cm
- Resolution: 300dpi
- Extension: JPG
- Text font size: 11 points
- Font: Times New Roman

The reports that are used for printing the documents must be modified by TSD before the signature appears on the printout. Contact TSD if you wish to make use of this option.

ShowModify process phase of selected quotations

Via the menu Sales -->Change quotation, more than one quotation can be modified at the same time.
When you open this menu, a search window appears so that you can select the desired quotations. If no selection is made, all quotations will be displayed in the window.

A ‘Quotation text’ button is located at the bottom of the window. Use this button to modify header and footer texts for the selected quotations. Via the button [Change], the fields Reference, Extra info, Process phase, and Delivery date of the selected quotations can be modified. There is a checkbox in front of each field, and the field will only be changed if this checkbox is ticked. By ticking the checkbox but leaving the field empty, it is possible include an empty value in the selected quotations.

Via the Transfer button, all selected quotations can be transferred to a sales order. For each quotation, the pop-up window will appear containing the same choices that are used when transferring separate quotations.

ShowTransferring part-amounts from quotation lines

In the quotation window we have added a column entitled ‘To order’. This column allows you to enter various amounts. When transferring a quotation, the existing option ‘Only selected lines’ has been replaced by a dropdown list containing 3 options:
- Transfer all lines
- Transfer only selected lines
- Based on To order.
When the field ‘To order’ has been filled for one or more quotation lines, this option will automatically be set to the choice ‘Based on To order'. If no amounts have been entered, one of the other choices will be selected, based on the setting that has been defined.

ShowSales orders

ShowSales order, defining header and footer texts at a later stage for delivery note

Currently, the header and footer texts that will be used on the delivery note are defined when the sales order is created. But it may also be useful to regularly modify these delivery note texts at source so that these can be used for new deliveries.

 

Using parameter 1831 you can specify that the header and footer text will not be copied from the delivery note to the sales order. It will then also not be possible to manually modify the texts on the delivery note for the sales order. It is only when the delivery is created that the correct header and footer texts for the delivery note are derived from the basic info. These texts can be modified manually in the delivery.

 

If you do not want the texts for the delivery note to be defined when the sales order is created, parameter 1831 must have the value DK,DS. The value FK,FS is used to define the invoice texts at the moment the delivery is created.

ShowImporting, also import trading units

When importing fictive stock, but also quotations and sales orders, an option is available to import amounts based on trading units. Of course the WinTree® module Trading units (70) must be active for this to be possible. In import profiles, it is now possible to use the construction A*B in the column ‘Quantity’, which produces the total amount. During the import process, this total amount is calculated and then re-calculated to the correct unit and the correct number of units.

 

For this function, parameter 1695 must be set to 1.

ShowImporting: use indigenous name (15176)

When importing quotations and sales orders from Excel files, the indigenous name of the plant name is inserted by default in the line. The indigenous name is derived from the language code of the client. If there is no indigenous name present, the botanical (Latin) name will be used. Using parameter 1881, you can specify whether you want to use the indigenous name or the Latin name. The default value of the parameter is 0 (= indigenous name).

ShowPro forma invoicing changed

ShowDeliveries

ShowDelivery, terms of payment printable on CMR

When creating a CMR document, using parameter 1507 (value 3) it is possible to print the description of the terms of payment used in field 13 (Sender instructions). If the used terms of payment also have to be printed on the delivery note, then you will need a modified report. This can not be defined by default via the print settings of the delivery note.

ShowDelivery, compulsory check on credit limit

If credit limits are used, using parameter 328 enables you to specify that entering a sales order will be blocked when the limit of the customer has been exceeded. The possibilities for this parameter have been extended.

0 – It is not compulsory to enter the credit limit for the customer.

1 – The credit limit must be entered before the lines can be entered.

2 – The credit limit must be entered before deliveries can be added.

 

When option 2 is activated and no limit has been entered for the customer, it is not possible to add a new delivery. Neither is it possible to add delivery lines to existing deliveries of that customer.

ShowDelivery, also print lifting labels if not allocated

When printing lifting labels, in other words, for the plants allocated on the own locations, it is now also possible to print off the delivery lines that are not allocated at all. In the past this was only possible if call-up labels were also printed.

ShowModify data of confirmed deliveries

When a delivery is confirmed, this delivery will be automatically blocked. After restoring a delivery (via the tab page ‘Restore’ in the menu Sales orders  Confirmed deliveries), the delivery will be unblocked.

 

To open a blocked delivery, double-click on the delivery number on the tab page ‘Restore’. In the opened delivery window, the delivery number appears in red and a key symbol will be visible in front of it. It is only possible to modify the data on the tab page ‘Delivery info’. Using [Options] you can generate a printout or a re-print of a CMR for example. A delivery that has been blocked while being confirmed can only be unblocked by restoring it.

Via the Delivery window, using [Search delivery] you can look for a delivery. By placing a tick in the checkbox ‘Show delivered deliveries’ you can also re-open a delivery that has already been delivered and invoiced. Since the status of the tick is not a parameter, by default the checkbox is always unticked. Once the tick has been inserted, it will remain active as long as the delivery window is not closed. If a delivered delivery is selected, it will be opened in blocked mode. Here too, only the data on the tab page ‘Delivery info’ can be modified.

 

During the conversion (performed after the installation of the version) all confirmed deliveries will be blocked.

Via parameter 1871, you can define which tab page has to be opened when the delivery window is opened. Value 1 = tab page Deliver (with the sales lines), value 2 = tab page Delivery alterations. Value 1 is the default setting of the parameter.

ShowInvoice, restoring can be password-protected

Restoring an invoice using the [Restore] button can be protected using a password. Via the properties of the invoice window (to be opened by clicking the right-mouse button in the opened window and selecting the ‘Properties’ option) a password can be specified. Once this password has been specified, a pop-up window will open if the [Restore] button is clicked. In this pop-up window, you must enter the correct password in order to restore the invoice .

ShowInvoices, contact and sales memo fields visible when deliveries are selected (BASIS)

In the contact data there is a possibility to fill a memo field. For each sales order there is also the possibility to fill a separate sales order memo field.

 

When creating invoices, in the window “Selection deliveries to be invoiced”, the memo field from the contact data and the memo field from the sales order can be viewed. If a delivery has been made with sales lines from several deliveries, the memo field can be a combination of all sales orders that occur in the delivery.

 

Via the print button, there is a possibility to print a new document ‘Invoicing instruction’ (document 400). Both the contact memo field and the memo fields from the sales orders are displayed here. Before you can use this document, this document must first be activated in the Settings--> tab page Lists--> print group Invoice selection. The document will not be printed before this has been done.

ShowTransferring sales invoices with a zero balance

Transferring sales invoice with a zero balance (14846) In the past, if a sales invoice whose balance is 0 had been created in WinTree®, it was not possible to transfer this invoice to another bookkeeping programme. This resulted in the journalising of the amounts in the bookkeeping programme not being checked. It is now possible to transfer these invoice amounts. During the processing phase, a warning message will be displayed but the processing will be completed.

ShowReturns: booking modifications to returns (BASIS)

 The returns window has been modified. Previously, the returns could be booked here immediately. However, it was not possible to choose which allocations had to be processed. The window has now been modified so that the amounts to be returned can be entered consecutively. After the amounts have been entered, these returns will be processed. To process them definitively, click on the [Process] button.

ShowSage: link with external bookkeeping programme Sage 50, version 16

Via parameter 1873, an extra version number can be included for a link with an external package. If you are using Sage 50, version 16, this parameter must be filled with the value 16. The header will then be included as 1st line and all columns will be created in the CSV file. Sales reference will be included in the column Project Refn, and the Company name 1 and Company name 2 from the delivery address, separated by a space, will go to the Extra Reference column. At the same time, the VAT amount column will be filled with 0 if no VAT is charged. This column must not be empty during the importing process. Make sure that parameter 1873 has the value 16.

ShowPurchase

ShowPurchase via delivery leads to a direct purchase, which is not always desirable

When a purchase is made via the allocation window of a delivery, these purchases are considered by WinTree by default as a ‘Direct purchase’. When these are called up, the header and footer texts on the purchase lines will be different to those on a normal call-up. By setting parameter 1872 to the value 1, the normal header and footer texts will be generated when a ‘direct purchase’ is made. By default, the parameter is set to 0. The texts that are linked in the basic info during the direct purchase will be used for this .

ShowPurchase order: type of header and footer text visible.

In the basic info, separate header and footer texts for the purchase confirmation and purchase confirmation (direct) can be entered. When creating a standard purchase order, the texts will be linked from the purchase confirmation. Also, when new purchase lines are added to this purchase from the delivery allocation screen, the text from the purchase confirmation will continue to be linked to the purchase. If a new purchase order with lines is created from the delivery allocation screen, then this is a direct purchase and the text from the purchase confirmation (direct) will be linked to this purchase.

When purchasing, via [Order text] in the title of the opened window, it can be seen that this concerns the Purchase text (Direct). If the purchase order is opened later, then it can also be seen via [Order text] that the Purchase text (Direct) is linked to the purchase. If lines are added to this purchase and printed, the purchase confirmation (direct) text will appear on the printout.

ShowExtra tabs available

In connection with the developments in the near future concerning authorisations, the contact windows of the different WinTree® applications have been merged. In Nursery Manager, all the necessary tab pages are available. In Office Manager, the number of tab pages is more restricted. You can therefore manage contacts more easily in Nursery Manager.

ShowStock

ShowStock, entering existing article generates a message (BASIS)

When maintaining own production, it may happen that a stock batch is booked with a plant name -quality combination that has already been booked as a stock batch. WinTree® will then display a message stating that the article already exists. At the same time the entered size code will be deleted and the field ‘size code’ will remain empty. Delete the whole line and perform a search for the existing batch. This batch can then be modified via a stock alteration.

ShowStock label: mention passport information

When printing stock labels (to be used at Cash & Carry or garden centre) it is possible to provide plants with a passport, based on the passport information from the genus table. To do this, the label layout needs to be modified.

ShowStock, default map for searching photos

When using batch photos, it is possible to link a photo to each stock batch. Using the [Search] button, you can search for the photo on your computer or network. The defined work map (File àSettings) will now be opened as the default map when searching for the photo. This directory is also shown as the default when searching for photos for items.

ShowStock, row number 19 characters long

Each stock batch can be linked to a row number. The length of this row number is now 19 characters long. The row number can include letters, symbols and numbers.

ShowTransports, adding an address manually

When composing transports, in addition to the Pick up and Deliver addresses, it is also possible to add individual addresses. On the tab page Compose there is a “T” button available under the arrows keys. When you click this button, you can use the search window to search for an address from the contact data. When you add an individual address, this will be placed in the transport as type Several. The text will need to make clear to the transporter what has to be done at that address, for example, pick up packing or deliver a package (for example, not plants).

ShowUse label buffer also for other paper types

All paper types can now be printed in WinTree® via the label buffer. For each paper type, a checkbox is now available.
This checkbox can also be activated for standard A4 paper but WinTree® will not make use of this during the printing process. Only paper types that are used for printing labels can makes use of the label buffer

ShowAuthorisation, colours able to be defined at company level

WinTree® allows you to define colours at different locations to modify the look of displayed data. If you are working with the module Authorisation (module 79), the database administrator can manage the colour settings. Then all users will use these settings unless they have modified a setting for that specific column themselves.

 

In addition to the ‘company colours’, users can also add colours to other columns.

‘Company colours’ can also be defined differently by a user.

 

WinTree® looks first at the colour setting for the registered user, and if no definition exists for this user, WinTree® will display the colour settings of the user 0 (= the database administrator). Contact TSD if the company colours have to be included in an existing database whereby the individual users have already defined the colours.

ShowAuthorisation, definable through roles

The module Authorisation has been modified. In Basic info--> Others, a new option has been introduced: Roles. Via this menu it is possible to define different roles. For each role, you can define whether employees who have been assigned to that role are allowed to open certain programmes. For each programme it is possible to define whether windows are allowed to be opened. At the same time you can define whether the employee is allowed to print documents. Once the roles have been defined, an employee can be linked to one or more roles. It is possible to deviate from this for each employee.

 

The options for defining the roles will be further expanded during the course of 2011. A definition for allowing windows to be viewed as read only will also be added.

ShowE-mailing, specifying extra receivers

When sending documents per e-mail, it is possible to open a pop-up window so that the text can be modified before the e-mail is sent. At the same time, the attachment can also be viewed in the pop-up window. This option can be activated using parameter 1035.

 

When this parameter is activated, an extra “CC” field is available in the pop-up window. In this field you can then enter an e-mail address of your choice. This address will then also receive the e-mail, including the attachment. In the field, you can enter different e-mail addresses, separated with a ; (semi-colon). Behind the field you can click on a square button. This button displays a list of all contact persons of the contact to which the message can be sent. You can select one or more of the contact persons from this list. Using parameter 1742, you can specify that your own personnel can also be displayed in the list of contact persons.

ShowE-mailing, sending extra attachment and document separately per contact and per document

When sending e-mails, it is possible to specify that an extra attachment can automatically be sent with it. It is now possible to define the value of this parameter (1360) for each contact and per document. This makes it possible to send customer A an Excel file when e-mailing a quotation for example, but you can disable this option for customer B. Because the setting is valid per customer and per document, you can specify that a quotation for customer A can be sent with the extra attachment, but that the invoice that is e-mailed does not contain an extra attachment.

 

As well as defining that an extra attachment must be sent, you can also specify what format the extra attachment must have per customer and per document. You can choose between an Excel file or a TAB-separated file.

 

The settings for the extra attachment are defined on the tab page “Parameters” in the ‘Maintain contact’ window.

 

The choice of whether or not to send a document as a PDF file can not be specified. Sending a document per e-mail will always produce a PDF attachment in the mail.

ShowTreecommerce link with WinTree® further extended

Via WinTree® it is easier to gain a direct view in the offerings displayed on Treecommerce.nl. It is not necessary to import these as fictive stock in WinTree®. Using parameters 1733 through to 1740, it is possible to display a Treecommerce Applet in various windows. As soon as a plant name is entered, Treecommerce.nl will be consulted to see if the plant is available. If that is the case, then this will be displayed as a number in the applet. By clicking on the applet, an import window will be displayed and the offerings can be imported as fictive stock and processed further.

 

You can request a more detailed description of this from TSD. This function will of course only work if you are a member of treecommerce.nl.

ShowSeason closure database name restricted to A-Z and 0-9 (BASIS)

When closing a season, it is possible to create a history database. The method of naming this history database has been modified. The database name you enter may only consist of the letters A-Z and/or the numbers 0-9 and the maximum length of the name is 25 characters. The name of the database will always be shown in upper case.

 

Use a simple, short description. For example HIS0910 or HIS1011.

ShowNew function: registration of complaints (BASIS)

For all WinTree® users there is a new function available in WinTree® for registering complaints. The function offers the option, based on pre-defined types of complaints, to register complaints. For example, booking returns or modifying allocations. After completing the registration, to which you can also link photos, you have the option to confirm the complaint with the customer in writing.

 

WinTree® users who also purchase via WinTree® have the extra option to record complaints about deliveries from suppliers. Based on the number of complaints, combined with the number of plants delivered, suppliers can be assessed manually. Based on this assessment, it is even possible to prevent new purchases being entered from suppliers that have had low assessments. It is also possible to assess suppliers without any purchases having been made.

 

Contact TSD to enable the parameter with which the use of complaints registration is activated. A manual for the use of this function is available on request from TSD.

ShowMaintain of incoming and outgoing packing changed

New functionality is available for managing Packing --> the Packing return form. This function is activated by setting parameter 1889 to the value 1. After activating this parameter, open the menu Packing --> Display packing. Set the sequence to ‘Firm order’ and (lower left) place a tick in the checkbox ‘Show details per packing’. The packing balances of the firm shown will now be displayed. Additionally, it is possible, for each packing type (for which the balances are displayed), to enter a number manually for outgoing or return. Click on [Accept] after you have entered the amounts. These amounts will be immediately added or subtracted from the balances as packing alterations. After accepting, you can print, fax or email a packing inventarisation form. This document contains the packing types with the packing balances.

 

If invoice packing is activated for a contact, a button [Invoice] will be active (including the total amount of packing yet to be invoiced). Clicking this button will generate the corresponding invoice. ATTENTION: all packing alterations that have not yet been invoiced will also be included in this invoice.

ShowExport file when emailing: include print options for displaying prices.

When creating the export file that is sent as an attachment with emails, account is now taken of the settings defined in the print options of the document. The attached export file will therefore contain the same price information as the PDF attachment. When sending a delivery note, an extra check is performed on the print option ‘Print totals’.

ShowWintree Cash & Carry

ShowCash & Carry, documents can also be faxed or e-mailed

In the past, the Cash & Carry window only allowed you to print documents. Each button that is now used to print a document can have a sub-menu attached in which you can choose between Print, Fax and E-mail. The use of this menu must be defined by the administrator of the Cash & Carry application via the Properties window of the button. In the opened window a checkbox on the second tab page can be ticked to activate this menu.

When using the WinTree® programme Cash & Carry, in addition to direct purchasing, it is also possible to process orders that have been prepared beforehand (deliveries in WinTree® Nursery manager) at the cash desk. You will need to activate a separate button in the cash desk window to enable this.

 

Contact TSD if you wish to make use of this option. Because of the complexity of this way of working, this option can only be activated and explained on your site.

ShowCash &Carry: immediately processing plants still to be received.

If use is made of module 62 (Inward Goods) and module 107 (Cash & Carry), it is not possible by default to sell articles with the status ‘On the way’ (called up but not yet received). Parameter 1152 enables you to receive these goods so that the invoice can be created for the customer.

This parameter can have the following values:
0 – Display an error message, it is not allowed to confirm deliveries.
1 – Warning, with an option to continue (the plants will be automatically set to stock when continued) and the delivery will be confirmed, after which the invoice can be created.
2 – No message, always confirm delivery. The plants will automatically be set to stock. The delivery will be confirmed and the invoice can be created.

ShowOffice Manager

ShowRTF editor: pasting from Excel improved.

When creating a letter using the RTF editor, data from an Excel file can be pasted into the letter in two ways. Via CTRL+ V and via the [Paste] button in the window.
Both methods will paste the data into the letter, taking the margins of the paper that have been defined into account.
